Candidate privacy notice
This notice explains how AI Think Special Projects Consulting Limited (“AI Think”) uses the personal data of professionals who apply through our website or whom we consider for a role, and of students we support in applying to university. AI Think never charges candidates a fee, for any service.
1. Who we are
AI Think Special Projects Consulting Limited, registered in Ireland under company number 782262, licensed employment agency EA 5692, is the data controller. Contact for all data protection matters: erica.moscatello@aithink.ie.
2. What we collect
- Identity and contact details: name, email, phone, country of residence.
- Professional profile: CV, profession and specialty, qualifications, professional registration status, work history, languages, availability, and a link to your professional profile if you give one.
- Information needed to plan a move to Ireland: passport category (EU/EEA, UK or other), so we can assess work permit requirements.
- Notes from video interviews, references you authorise us to contact, and our correspondence with you.
We ask you not to send health information, a photo, your date of birth, religion or any other detail not needed to assess your professional profile. If such data reaches us, we delete it unless it is needed for a specific step you have asked us to help with (for example, a health certificate required for registration), and in that case we use it only with your explicit consent.
We do not collect criminal record information. Where a role requires Garda vetting, the employer carries it out through the National Vetting Bureau.
3. Where it comes from
Mostly from you. With your agreement, also from referees, and from public professional sources such as professional registers.
4. Why we use it, and our legal basis

You can withdraw any consent at any time by writing to erica.moscatello@aithink.ie. This does not affect what we did before you withdrew it.
5. Who receives your data
- Prospective employers, only for a specific role we have told you about and that you have agreed to.
- Registration bodies and public authorities in Ireland, such as the Medical Council, NMBI, CORU or the Dental Council, only when you ask us to help with an application.
- Service providers who process data for us under contract (email, document storage, forms, video calls).
- Professional advisers and authorities, where required by law.
We never sell candidate data.
6. Students applying to university
For students we support under our agreement with UniCamillus, Saint Camillus International University of Health Sciences (Rome), we share your application details with the University’s admissions office. From that point, the University is the data controller for your admission and studies, under its own privacy notice. After the admission test, the University communicates directly with you.
7. Transfers outside the European Economic Area
Many candidates live outside the EEA. When we exchange data with you, we use secure channels. Where a service provider processes data outside the EEA, we rely on an adequacy decision or on the European Commission’s Standard Contractual Clauses.
8. How long we keep it
- Your application and profile: up to 12 months after our last contact with you, then deleted, unless you agree to stay on file for longer.
- If you are placed in a role: the records of the placement for six years, and any record we must keep as a licensed employment agency for the period required by law.
9. Decisions
We do not make decisions about you by automated means alone. A person reviews every application.
10. Your rights
You have the right to access your data, to have it corrected or erased, to restrict or object to its use, to data portability, and to withdraw consent. Write to erica.moscatello@aithink.ie; we reply within one month. You may also complain to the Data Protection Commission (dataprotection.ie).
11. Equal opportunities
We assess every candidate on skills, qualifications and experience. We do not discriminate on any of the nine grounds set out in the Employment Equality Acts 1998–2015: gender, civil status, family status, sexual orientation, religion, age, disability, race, and membership of the Traveller community.
